THE METHOD

Price the visits you intend to deliver.

A recurring quote needs both a price and a schedule. Start with the per-visit calculator to allow for cleaner time, supplies, travel, overhead and your target margin. This worksheet multiplies your chosen selling price; it does not add profit again.

Calendar counting or a monthly average?

Calendar mode counts selected weekdays in each of 12 consecutive months and removes entered skip dates that would otherwise be service days. It handles different month lengths and leap days. A skipped date on an unselected weekday has no effect. Skipped dates remove routine visits only; change the extra-work inputs if a first clean or periodic task is also cancelled.

Average mode uses visits per week × 52 ÷ 12. Five weekly visits become approximately 21.67 visits per month. This is a budgeting convention, not a promise of 21.67 actual visits or an exact calendar count. Check your agreement before using an average for billing.

A worked example

Hypothetical prices and scope. Three $200 visits per week give $31,200 for 156 visits under the 52-week method, or $2,600 per average month. A $150 first-clean extra and $300 of additional work every 3 months add $1,350 over the term. The total becomes $32,550 and the average $2,712.50. The first-clean extra applies in month 1; periodic extras apply in months 3, 6, 9 and 12.

Keep your agreement specific

Describe rooms and tasks, service days, supplies responsibilities, closures, missed visits and how extra work is approved. If the first clean replaces a routine visit, adjust that date and price deliberately; the first-clean field here always adds to routine service. The worksheet does not apply automatic annual price increases, calculate taxes or schedule a crew.

Compare estimated time with completed visits using the rate tracker and the actual-cost review. A correct annual sum cannot repair an underestimated visit.
